Abstract

The purpose of this paper is to implement a matrix containing detailed information of the shipments such as waybill number, customer reference, ETA (Estimated Time of Arrival) of the cargo, nationalization, cargo status and estimated invoice date by the Customs Agency. In addition to this, a tracking matrix was implemented in the operation for the cancellation of invoices that are rejected by the customer, which contains the shipment number, the invoice to be rejected, the reason for this rejection, whether the re-invoicing process proceeds or not, the new invoice number generated and the date of re-invoicing, This was done in order to have control over these invoices, since it was evidenced that the cancellation of these invoices was requested but there was no followup, so they were not re-invoiced within the deadlines established for the closing of the client and remained in the portfolio, which generated an alert in the finance area. For the Energy & Projects area, these two matrices will be of great help since the people involved in the process will have more visible, clear and detailed information on the status of the loads and their correct billing, avoiding the loss of information in previous mail lines and improving internal KPIs.
