El presente documento corresponde al informe final de práctica empresarial desarrollado en el Centro de Emprendimiento y Desarrollo Empresarial (CEDE) de la Universidad Santo Tomás, el cual desarrolla sus funciones sobre la línea de Emprendimiento de Proyección Social y Extensión Universitaria. Problema: Durante el desarrollo de la práctica se identificaron falencias relacionadas con la sistematización de actividades, el seguimiento operativo y el cumplimiento de responsabilidades durante la planeación y ejecución del evento institucional Spark Fest. Objetivo: Diseñar una herramienta de optimización logística y articulación institucional, fortaleciendo el control operativo, la organización de actividades y el seguimiento de procesos. Método: El desarrollo del trabajo se basó en la observación directa, el análisis de procesos y la experiencia práctica obtenida durante la organización del Spark Fest y el Foro de Emprendimiento, identificando necesidades operativas y estructurando mecanismos de mejora aplicables a los eventos que se organizan en la unidad. Resultados: Como resultado, se diseñó la Matriz Integral de Planificación y Seguimiento Logístico para Eventos Institucionales (MIPSLEI), orientada a sistematizar actividades mediante cronogramas automatizados, categorías operativas, asignación de responsabilidades y seguimiento logístico. Adicionalmente, se estructuró un esquema de articulación entre el CEDE y el Centro de Consultoría Empresarial (CCE) para fortalecer el apoyo colaborativo entre dependencias institucionales. Discusión: El desarrollo del trabajo permitió evidenciar la importancia de fortalecer la sistematización y organización de las labores base para mejorar la eficiencia operativa, optimizar el uso del tiempo y favorecer la proyección de eventos institucionales con mayor capacidad de articulación y crecimiento.
Abstract
This document corresponds to the final internship report developed at the Entrepreneurship and Business Development Center (CEDE) of Universidad Santo Tomás, which carries out its functions within the Entrepreneurship line of Social Outreach and University Extension. Problem: During the internship process, shortcomings related to the systematization of activities, operational monitoring, and fulfillment of responsibilities were identified throughout the planning and execution of the institutional event Spark Fest. Objective: To design a logistics optimization and institutional coordination tool aimed at strengthening operational control, activity organization, and process monitoring. Method: The development of this work was based on direct observation, process analysis, and practical experience gained during the organization of Spark Fest and the Entrepreneurship Forum, allowing the identification of operational needs and the structuring of improvement mechanisms applicable to the events organized by the unit. Results: As a result, the Integrated Planning and Logistics Monitoring Matrix for Institutional Events (MIPSLEI) was designed to systematize activities through automated schedules, operational categories, assignment of responsibilities, and logistics tracking. Additionally, a coordination scheme between CEDE and the Business Consulting Center (CCE) was structured in order to strengthen collaborative support among institutional departments. Discussion: The development of this work highlighted the importance of strengthening the systematization and organization of core operational tasks to improve operational efficiency, optimize time management, and enhance the projection of institutional events with greater coordination and growth capacity.
