Currently, the human resources recruitment team manages more than twenty monthly processes using manual and non integrated tools, resulting in hiring delays, operational errors, and talent loss. As a solution, the design of a digital system supported by automation tools within the Microsoft ecosystem and a Power BI dashboard is proposed in order to centralize information, automate tasks, and improve process monitoring. As part of the methodology, the current process was analyzed and modeled using BPMN 2.0, identifying problems related to manual records, dispersed information, and lack of inventory control. Subsequently, a digital ecosystem based on Google Forms, Google Sheets, Excel with Python, and Power BI was designed to automate the capture, consolidation, and visualization of operational information. In addition, a process of organizing and cleaning historical data related to inventory entries, outputs, and sales was carried out, allowing the creation of indicators and interactive dashboards for real-time monitoring and analysis. The model was built by integrating various official sources and open data, using business intelligence and analytics tools in Power BI. The Digital Maturity Index (DMI) consolidated strategic dimensions such as technological infrastructure, use of digital tools, electronic payments, and e-commerce. The results show that MSEs have reached an intermediate level of digital maturity, with notable progress in connectivity and access to technology, although gaps persist in e-commerce, automation, and the adoption of advanced digital solutions. The sectoral analysis revealed significant differences: while the more technologically advanced sectors made greater progress, traditional activities continue to face limitations. The use of Power BI allowed for the integration, modeling, and visualization of strategic information through interactive dashboards, facilitating comparisons and the generation of useful knowledge for decision-making. Its functionality is demonstrated using public financial information from the last five years of a private IPS with reserved identity, integrating and standardizing the data to automate indicators and generate alerts that facilitate interpretation. Through the use of data analytics techniques, it seeks to consolidate and visualize key information that strengthens monitoring, control, and decision-making processes within the organization. The methodology included the development of an ETL (Extract, Transform, Load) process applied to the dataset from the institution’s internal PCC system, complemented by semi-structured interviews with staff to identify key indicators of efficiency, customer experience, and organizational performance.The results led to the creation of a three-level hierarchical indicator model—operational, customer, and business—implemented in an interactive Power BI Dashboard that analyzes variables such as request type, response time, recurrence, and responsible department. The viability of a digital model aimed at strengthening trust, traceability, and labor formalization in the sector was evaluated. Through surveys conducted with providers and users of technical and domestic services, a high willingness to use the platform was identified (88.9% and 63%, respectively), demonstrating significant potential demand. The technical component defined a Minimum Viable Product (MVP) with geolocation, identity verification, reputation, and secure payment functionalities. From the financial perspective, the project showed a Net Present Value (NPV) of COP 1.234 billion and an Internal Rate of Return (IRR) of 176% per year, with an investment recovery period of less than one year. Overall, the results confirm the comprehensive viability of the project and its potential to promote the formalization of independent work and strengthen digital trust in the contracting of local services.
